How do I register working hours when they end after midnight or for several work shifts during the same 24-hour period in the calendar?
This topic only applies to payroll administrators.
For shifts that run across midnight, the hours worked are shown in the calendar on the day the shift started. For example, if an employee starts their shift at 10 pm on Monday and finishes at 7 am on Tuesday, all the hours worked are shown on Monday in the calendar.
When an employee works several shifts during the same 24-hour period, each time registration needs to be matched to the right shift. This is done in two steps:
- First, it’s checked whether the time registration was made within two hours before or after a shift. If there’s more than one possible shift, the time registration is matched to the one closest in time.
- If there isn’t a shift within two hours, it’s checked whether a shift starts or ends during the same 24-hour period as the start time of the time registration. If there is, the time registration is matched to the shift closest in time during that period.
Example
The employee’s work schedule runs from 8 pm on Monday to 5 am on Tuesday.
The employee register working time from 10 pm on Monday to 5 am on Tuesday, and from 8 am to 10 am on Tuesday. They also register 1 hour of overtime, from 10 am to 11 am on Tuesday.
The result is shown in the calendar on Monday: 8 hours worked and 1 hour of overtime.
