Adjust journal entries

Certain journal entries that are not included in a locked year or accounting period can be adjusted. You can make adjustments to the Manual journal entry, Other withdrawal, Other deposit, Purchase with receipt, Purchase invoice and Sales invoice types of journal entries.

For the above mentioned types of journal entries it is possible to change:

  • the date (only for Manual journal entry).

  • the ledger account.

  • the VAT code (except Sales invoice).

  • the amount and whether the amount is to be posted as debit or credit (except Sales invoice).

  • adding or removing rows (except Sales invoice).

If the posting is included in a VAT report that has been posted to the ledger, it will only be possible to adjust the ledger account. In addition, for all journal entry types except Sales invoice it will still be possible to add new rows, and to remove rows that are not included in a VAT report yet.

Even when a journal entry is possible to adjust, there are certain types of rows that cannot be adjusted:

  • if the posting is for a customer receivable ledger account and linked to a sales invoice.
  • if the posting is for a payable ledger account and linked to a purchase invoice.
  • if the posting is for a cash or bank ledger account.
  • If the posting is connected to a correcting journal entry.

For rows posted against these accounts no changes can be made, not even the date.

  1. Select Accounting - Journal entries.
  2. Select the journal entry you want to correct.
  3. Choose Open.
  4. Make the needed adjustments to the journal entry.
  5. Select Save.

Please note that a journal entry is not adjustable if:

  • the entry is connected to a correcting journal entry.

  • there are allocations entries made for the journal entry.

  • the entry is an offsetting journal entry or a posting of a doubtful debt.
