Void or edit a purchase invoice
Delete a draft
A purchase invoice that hasn't been posted is saved as a draft and can be permanently deleted. No journal entry is created, and the deletion can't be undone.
- Go to Purchasing - Purchase invoices - Drafts.
- Select Delete on the draft you want to delete.
- Confirm with Delete in the dialog.
Void a posted invoice
By selecting Actions - Void invoice on a purchase invoice that needs to be credited, you will save a lot of time. When you void an invoice, a new invoice is created and automatically offset against the purchase invoice.
You cannot select Void invoice if the purchase invoice is partly or fully paid. If this is the case you have to manually create a credit note and offset it against the paid invoice.
If you have an active bank integration where invoices are either automatically sent to the bank or included in a payment file, it will no longer be possible to void the invoice once it has been sent or a payment file has been created.
- Go to Purchasing - Purchase invoices - Unpaid purchase invoices.
- Select the invoice you want to void.
- Select Actions - Void invoice. A new invoice is created which is offset against the selected purchase invoice. The new invoice will get the same invoice date as the original invoice.
If you've entered the wrong invoice date or due date on the invoice, want to enter a different account or a different supplier, or want to remove or add rows, you don't need to void the invoice. These changes can be made directly in the invoice. The invoice can be edited as long as it's not included in a VAT report or a locked period, and as long as it's not already fully or partially paid. To activate this setting, go to Settings - Company settings - Invoice settings and select the checkbox Allow editing of purchase invoices under Purchase invoices.
If you have an active bank connection and the invoice has either been sent to the bank automatically or is included in a payment file, you can't change the invoice, or the supplier. This applies as soon as the payment has been created, even if it hasn't yet been approved or signed in the bank.
