Can I link an already posted journal entry to a bank transaction?
No, it’s not possible to retroactively link a journal entry that you’ve posted another way, for example a manual journal entry created under Accounting - Journal entries, to a bank transaction under Cash and bank transactions. The link between the posting and the bank transaction is only created when you post the bank transaction itself by matching it. This is why you won’t find a bank transaction to select when posting the journal entry, and no matching journal entry when you try to match the bank transaction.
The same applies if you've posted the payment of a customer or supplier invoice as a manual journal entry instead of registering the payment on the invoice. The invoice will still show as unpaid, because the link between the invoice and the payment is only created when you match the bank transaction against the invoice under Cash and bank - not when you post a manual journal entry.
Do this to make the posting and the bank transaction match:
- Correct the journal entry you’ve already posted so that the line against the cash or bank account is removed.
- If the journal entry still has the status Preliminary and the bank line hasn’t been matched to a bank transaction, you can open and change it directly. Read more in Adjust preliminary journal entries.
- If the journal entry is no longer preliminary, correct it instead by creating a correcting journal entry. Read more in Create a correcting journal entry.
- Then re-post the transaction by matching the bank transaction under Cash and bank transactions. See Match incoming payments manually and Match outgoing payments manually for more information. If this concerns an invoice, also read How do I mark an invoice as paid?.
Tip! Instead, register your incoming and outgoing payments directly under Cash and bank transactions rather than creating a manual journal entry. This automatically links the posting to the bank transaction, helping you avoid this situation.
