Adjust preliminary journal entries

Certain journal entries that are not included in a locked year or accounting period have the status Preliminary and can be adjusted. You can make adjustments to the Manual journal entry, Other withdrawal, Other deposit and Purchase with receipt types of journal entries.

For the above mentioned types of journal entries it is possible to change:

  • the date.
  • the ledger account.
  • the VAT code (if you use automatic VAT calculation).
  • the amount and whether the amount is to be posted as debit or credit.
  • adding or removing rows.

How to change the journal entry

  1. Select Accounting - Journal entries.
  2. Select the journal entry you want to correct.
  3. Choose Open.
  4. Make the needed adjustments to the journal entry.
  5. Select Save.

If you're unsure whether a journal entry counts as preliminary, this is determined by your accounting's lock date. You set the lock date under Company settings.

Is the journal entry no longer preliminary, for example because the accounting period is locked? Then you correct it instead by creating a correcting journal entry. Read more in Create a correcting journal entry.

Exceptions

Even when a journal entry is preliminary, there are certain types of rows that cannot be adjusted:

  • if the posting is for a customer receivable ledger account and linked to a sales invoice.
  • if the posting is for account 2018 and the company is a sole proprietorship.
  • if the posting is for a payable ledger account and linked to a purchase invoice.
  • if the posting is for a cash or bank ledger account and matched to a business transaction.
  • if the posting is for a tax account.

For rows posted against these accounts no changes can be made, not even the date. Read more in Help, something's wrong!.

If the journal entry is actually an invoice payment that's been posted manually, it's not enough to just correct it - the invoice will still be shown as unpaid. Read more in Can I link an already posted journal entry to a bank transaction?..

If the journal entry has allocations that haven't been ended, you can't change it until you've ended them. Read more in End allocation on journal entry.

Please note that a journal entry is not preliminary and not adjustable if:

  • the entry is a correcting journal entry or is connected to a correcting journal entry.
  • there are allocations entries made for the journal entry.
  • the journal entry is included in a VAT report that have been posted to the ledger.
  • the entry is an offsetting journal entry or a posting of a doubtful debt.
  • it belongs together with a bank transaction that has also been matched against a sales or purchase invoice.
