Transfer invoice bases to Bookkeeping & Invoicing
If you use Bookkeeping & Invoicing for your invoicing, you can transfer your invoice bases from Practice management.
Preconditions
- Postal code and City must exist on the customer.
- Product no must exist on tasks, time activities and outlays.
- Select Settings - Tasks in the main menu.
- Select the task that is entered in the invoice basis.
- Enter the number in the field Product no under Basic information.
- Enter the number in the field Product no for each activity under Activities for time registration.
If you have added an outlay registration that your customer will be invoiced for, you also need to add a product number for that registration.
Select Settings - Outlays and select the outlay you want to edit. On the second row enter the number in the field Product number.
- If you have several legal entities added for your agency, you can only transfer the invoice basis to the main agency.
- Go to Settings - Agency settings and the tab Invoicing.
- Go to the heading Transfer of invoice basis and mark SpirisBookkeeping & Invoicing. This check box is only visible if Bookkeeping & Invoicing is registered for the agency.
By marking the checkbox Automatically update customer data changes made in Practice management to Customer name, Address, Postal code,City, Phone and Invoicing e-mail will be automatically updated for the customer in Bookkeeping & Invoicing the next time you transfer invoice bases.
When transferring invoice bases to Bookkeeping & Invoicing, you can set an invoice date that should be applied to the invoices in Practice management. To be able to do this mark the alternative Always set the date when transferring invoice bases. Then go to Settings - Company settings - Invoice settings in Bookkeeping & Invoicing. You have to enable the option Always show the original date on draft invoices in order to be able to activate the feature.
- Select Save. The connection between Practice management and Bookkeeping & Invoicing is now activated.
- Open the Invoicing menu.
- Go to your created and approved invoice basis under the Invoice basis tab.
If you have activated the feature Set date when transferring, you will be able to set the invoicing date for your invoice bases.

To transfer all approved invoices, click the dropdown arrow beside the Approve all button at the top right and select Transfer all approved.
The date picker will be visible and you can enter the preferred date.

Select Transfer.
You can set specific invoice dates for individual invoice bases or groups of invoice bases.

For the invoice bases that are to share the same date, select the invoices and select Approve all and select Transfer all approved.
The date picker will be visible and you can enter the preferred date.

Select Transfer.
All invoice bases are now transferred to Bookkeeping & Invoicing. If a customer or an article does not exist in Bookkeeping & Invoicing, they will be added automatically.
If you only want to transfer one invoice basis at a time, click on the Transfer to history icon to the far right of the row.
