Calculation of holiday pay
Payroll helps you with all calculations regarding holiday and amounts to be paid.
According to the Swedish Annual Leave Act, everyone who works is entitled to vacation regardless of their employment type. It doesn't matter whether your employees are substitutes, hourly employees, or permanent employees. However, there are some exceptions, for example, for those who work temporarily during the summer.
Swedish law states that the holiday entitlement is 25 days, but what determines the number of days of paid holiday the employee is entitled to is how much they have worked during the qualifying year. Someone who has worked the entire year is entitled to 25 days of paid holiday.
Holiday year and qualifying year
The holiday year typically extends from April 1st to March 31st. The qualifying year is the previous year. So, it's how much the employee worked between April 1st and March 31st in year 1 that determines how much paid holiday they are entitled to in year 2.
Another common option for the holiday period is from January 1st to December 31st. In that case, the qualifying year can also be the current year, which means employees accrue their holiday pay in the same year they take it and thus receive a portion of the holiday in advance throughout the year.
There are two ways to calculate the holiday allowance: according to the same salary rule or the percentage rule.
If your employees have regular working hours and have a fixed monthly salary, the same salary rule is usually used. This means you pay out the monthly salary as usual when the employees take holiday. Additionally, you pay an allowance at a certain percentage of the monthly salary for each paid holiday day.
The minimum holiday allowance that can be paid out is 0.43 percent of the monthly salary. However, some collective agreements have a higher holiday allowance than what is specified by Swedish law. Therefore, check what applies in the company's collective agreement.
An employee with a monthly salary of 25,000 SEK receives an allowance of 107.50 SEK for each taken holiday day.
25 000 x 0,43 % = 107,50 SEK
107,50 x 20 = 2 150 SEK
The percentage rule can be applied for both employees with hourly wages and monthly salaries. According to the Swedish Annual Leave Act, you should calculate 12 percent of the holiday accruing pay to determine the holiday pay per day. The percentage rule can only be applied when employees earn their holiday in the year before they can take it.
Check with your collective agreement which percentage applies to the calculation of daily holiday pay. The minimum rate is 12 percent, as stated in the Swedish Annual Leave Act. In some cases, your agreement may also include a minimum amount of daily holiday pay for holidays.
An employee has, for the year in which the holiday is earned, a holiday accruing pay of SEK 300 000. The employee has 25 days of earned holiday and the holiday pay is calculated at 12 percent. Thus, when the employee is off for 20 days, a total of SEK 28 800 is paid in holiday pay.
The holiday pay replaces the normal hourly wages or monthly salary on the days the employee is on holiday.
300 000 x 0,12 = 36 000 SEK
36 000 / 25 = 1 440 SEK
1 440 x 20 = 28 800 SEK refers to the taking of 20 days of holiday.
Holiday deductions for employees with a monthly salary
If the employee has a monthly salary and takes holiday calculated according to the percentage rule, a holiday deduction corresponding to 4.6 percent of the monthly salary must also be made per day of holiday.
The employee has a monthly salary of SEK 32 000 and has taken one day of holiday. The holiday deduction from the monthly salary must be made for each day of holiday taken by the employee. Below you can see how the holiday deduction and the holiday pay are calculated.
32 000 x 0,046 = 1 472 SEK
32 000 x 12 (months) = 384 000 SEK
384 000 x 0,12 (holiday pay %) = 46 080 SEK
46 080 / 25 (paid days) = 1 843 SEK
The holiday pay per day is therefore SEK 1 843. .
Holiday compensation
Holiday compensation means that instead of days of holiday leave, employees receive an allowance calculated as a percentage of their salary. It is common to pay holiday pay to seasonal or extra employees and can be applied to both employees with monthly salary and hourly wages. Holiday pay can be paid as a lump sum once a year or with each pay run. According to the Swedish Annual Leave Act., the allowance must correspond to 12 percent of the holiday accruing pay.
Check with your collective agreement which percentage applies to the calculation of daily holiday pay. The minimum rate is 12 percent, as stated in the Swedish Annual Leave Act.
According to the payslip, the employee has earned a total of 10 500 SEK.
10 500 x 0,12 (holiday compensation %) = 1 260 SEK
