Register and complete payroll events on payslips

You can choose to register payroll events in the calendar as you go, or straight on the employees' payslips during pay run. The most common way of working is to combine these methods to register payroll events.

In order to facilitate the work for you as a payroll administrator, the employees can register their own times, deviations and expenses. You can then import these registrations into the pay run. If you use Practice management, the time registrations are imported from there.

If you want to look at the employees' information at the same time as you're working on a pay run, you can click the icon to open the employee list in a separate window. You can also click on the employee number in the list to the left to access the employee list.

Do the following to register payroll events via shortcuts or pay codes on the employees' payslips:

  1. Select Payroll - Pay runs and create a new pay run or select an already created pay run in the list.
  2. Click Import registrations to import registrations from Employee, Time & Project planning, Travel & Expenses or Practice management.
  3. Click on the employee's payslip in the list.
  4. Review the payslip and make any additional registrations.
    • Click on the plus sign to the right to add a row. If you want to delete a row, click on the minus sign instead.
    • Click on the list icon in the Pay code to add a new registration via shortcut or pay code. Read about the different shortcut types in the topic Calendar.
    • You can choose the order in which you want to display the pay rows on the payslips by dragging and dropping the dots on the far left.

    • Click New text row if you want to add a note to the registration. You can choose whether you want the note to show on the payslip or not by checking/unchecking the box in the Print column to the far right on the row.

  1. Click Submit when the payslip is done.

You can also submit all payslips at the same time, by checking the box on the top of the column marked Done in the view with all payslips. You can also submit all payslips when you submit the pay run.

If the company has only one employee, both the payslip and the pay run will be submitted and you will end up on the page for paying and posting the salary payment to ledger.

  1. Click on Next.
  2. When all the payslips are ready, click on Back at the top left or the cross at the top right to go back to the list mode where you will see all the employees included in the current pay run.

Select Preview if you want to preview the payslip or accounting records. If you select Payslip a PDF file with all the payslips included in the pay run is created.

  1. Click on Submit pay run.

You can now send the payslips, send the payment file to the bank, and post the salary payment. Read more in the topic Pay and post the salary payment to ledger.
