Getting started when employees register their own times and deviations
To make your job as a payroll administrator easier, employees can register and track their working hours and deviations themselves in Employee on the web or in the Spiris Employee mobile app. They will also get a full overview of leave, overtime and holiday. During the pay run everything's automatically
If you want to see how to do it inside the program, click on Guida mig in the program's menu bar and select the guide Aktivera Employee för anställda.
Time registrations made in Practice management can easily be imported when you create pay runs. In the topic Activate collaboration with Payroll, you can find out how to get started.
You can choose when you want to do the import.

Automatically at pay run |
If you always want to import registrations from additional services when creating a new pay run, you can select Settings - Payroll settings, the Pay and payments tab and tick the box Import registrations when pay run is created. |

Manually at pay run |
If you want the import to be done when you create a pay run, check Import registrations under Payroll - Pay runs, New pay run. |

When registering payroll events |
If you want to make the import when registering payroll events, select a pay run in the list under Payroll - Pay runs and click the Import registrations button. |
Here's how to give access to Employee:
- If the company doesn't have access to the solution , select Settings - Payroll settings and click Access the solution next to Let the employees register their working hours and deviations.
- Payroll.
- Select the employee to get access to the feature.
- Add/Check that the employee has the correct information in the fields First name, Last name and Email on the Basic information tab.
If the employee is connected to any of Spiris functions, first name, surname or email address can be changed by logging in to spiris.se. Read more in the topic How do I change name or email for employees in Employee/Payslip/Travel & Expenses?.
- Select Employment.
- Check the box The employee registers times and deviations.
- Enter the start date for when the employee should start register their time in the As of field.
The employee gets access to the function immediately when a date is selected. However, entries can only be made once the specified date occurs. If you choose a date two months ahead, the employee receives immediate access, but entries can only be made from the actual date in two months' time.
- Log in by clicking Spiris at the top left and select Employee.
- Set up approval settings in Employee if the company will work with it. Read more in the topic Approval.
- Inform the employees on how to get started with registering their times and deviations. Read more in the topics Getting started with the Employee solution as an employee and Register time, or take a look at the movie Register time as an employee in Employee.
At vismaspcs.se there is a text template (in Swedish) which payroll administrators can copy and send to employees before they start registering time in .
When the company has access to Employee, there is an extra cost for all employees who received a salary during the month. This also applies to employees who do not have access to the function in the employee list. Read more at spiris.se.
The solution Payslip, used for sending and receiving digital payslips, is included in Payroll. Employees who have a digital mailbox in Kivra will get their payslip sent there automatically.
Payslips are also displayed in the app Spiris Employee.
