Ledger accounts are suggested or filled in automatically
All you need to do is change the ledger account, if necessary, and then click Post. Done!
This sounds great, but how do I get started?
There are several ways to receive purchase invoices digitally, and regardless of which option you choose, you get our smart accounting assistance included. We recommend the following:
-
E-invoice (for purchase invoices) - the easiest way to receive purchase invoices. Read more about how to get started and activate the feature in the section Receive e-invoices.
-
Ask your suppliers to send their invoices to Spiris's unique email address, which you'll find under Purchasing - Source Document Images. Read more about how to get started and activate the feature in the section Upload images.
-
Take a photo with the app. Use the Spiris Scanner app to photograph your paper invoice and send it to your bookkeeping. Read more about the app in the section The Spiris Scanner app.
Your digital invoice basis are stored under Purchasing - Source document images. Then select Manage and let the magic take over.
Something unclear? We'll answer some common questions
Yes, you always get automatic accounting assistance, regardless of whether the document has been entered manually, scanned with Spiris Scanner, or sent to your unique email address in Spiris.
With e-invoices it's even smoother: all the information is already included in the invoice when it's sent to your bookkeeping. No interpretation is needed, which makes e-invoices the best and most reliable option for purchase invoices.
No, invoices that arrive via an integration are not charged because no automatic accounting assistance is used. The information is instead retrieved from the other system.
To work entirely manually without automatic accounting assistance, go to the list view for source document images, click the arrow next to Manage for the document you want to handle, and select Manually without accounting assistance. You'll then need to fill in all the information yourself regarding supplier, details, and bookkeeping account.
You can also post the purchase invoice manually under Purchasing - Supplier Invoices and then link the source document image to the posted invoice afterwards.
No, receipts and other documents are not affected. It only applies when you post a source document image as a purchase invoice.
A charge only occurs when you post a purchase invoice using automatic accounting assistance. There's no charge just for getting the document into the feature.
-
A charge applies if you use automatic accounting assistance, even if you change some fields yourself.
-
No charge applies if you link a source document image to something you've already posted manually, or if you select the Manually without accounting assistance option when handling the source document image for purchase invoices.
